Who we are

This site is operated by Woodland Hills Toastmasters to manage meeting agendas and club participation. For privacy questions, contact us at agendas@jammedfull.com.

Data we collect

When you use this site, we may store:

• Your name, email address, and phone number
• Your profile photo (if you upload one)
• Meeting roles you sign up for, speech details, and guest registration information
• Meetings you mark yourself unavailable for
• Your email preference settings
• Sign-in links and session records used to keep you signed in securely
• Small preferences saved in your browser (such as dismissing the cookie notice or on-screen tips)

Email communications

We send two kinds of email:

• Sign-in emails: sent when you request a sign-in link. These are required to access your account and cannot be turned off while you use passwordless sign-in.
• Club emails: optional meeting reminders, role updates, and related club notices. You choose which categories to receive in your profile or via the Manage email preferences link in those messages (no sign-in required).

If you turn off optional club emails, you will no longer receive those reminders and updates by email. You can still sign in and use the site. Officers continue to receive digests and alerts needed for their office.

Cookies we use

We use only essential cookies. We do not use advertising or analytics cookies.

• Session cookie: keeps you signed in and protects forms. Expires after about 30 days of inactivity, or when you sign out.
• Remember-me cookie: helps restore your session if you stay signed in.
• CSRF token cookie: helps prevent cross-site request forgery on form submissions.

These cookies are strictly necessary for the site to work. We do not use them for tracking or advertising.

We also save a few small preferences in your browser’s local storage (for example, to remember that you dismissed the cookie notice or an on-screen tip). This information stays on your device and is not sent to us for tracking.

Third-party services

• Resend: delivers sign-in and club emails to your inbox.
• Google Fonts: loads typography from Google’s servers when you visit the site.
• jsDelivr: may load a small animation script on celebration pages after you sign up for a role.

When your browser loads resources from Google Fonts or jsDelivr, your IP address is shared with those providers as a normal part of the request. We do not control how they process it.

How we protect your data

We use passwordless sign-in, so there is no password to store or lose. Traffic to this site is encrypted in transit, and access to your account is limited to sign-in links sent to your email. No system is perfectly secure, but we take reasonable steps to protect your information.

Your rights

You can:

• Update your name, phone, and photo in your profile
• Choose which optional club emails to receive in your profile or via the Manage email preferences link in club emails
• Delete your account yourself from your profile
• Contact your club officers to request a copy of your data

Deleting your account and data retention

When you delete your account, we remove your email address, phone number, and profile photo, and we cancel your email preferences and sign-in access. Because meeting agendas and club history are shared records, your past meeting participation is kept in an anonymized form, showing only your first name, so the historical agendas remain intact. Sign-in links and active sessions tied to your account are deleted at the same time.

If you want your remaining historical records fully removed, contact your club officers at agendas@jammedfull.com.

US privacy

This site is operated for a US-based club. We do not sell or share your personal information, and we do not use it for advertising. We only use your information to run club meetings and communications as described above.

If you are a California resident, you may request access to or deletion of your personal information. You can do this yourself from your profile, or by contacting your club officers at agendas@jammedfull.com.

Changes to this policy

We may update this policy from time to time. When we do, we will update the “Last updated” date at the top of this page. Significant changes may also be communicated by club email.
